HR & Payroll Administrator

We are currently seeking a hands on HR & Payroll Administrator r to join a booming manufacturing business local to Southend, Essex. The role is focused on bringing support to the organisation and its employees, ensuring the HR and Payroll function works seamlessly with the rest of the business and in accordance with legal guidelines and best practice to help support and develop its diverse workforce

Duties of the HR & Payroll Administrator include:

HR Administration:
• Full manual and computerised administration of employee life cycle
• Manage HR mailbox and co-ordinate responses to enquiries
• Manage internal employee headcount records, communicate weekly amendments
• Manage the meeting & training rooms access/booking system
• Issuing replacement swipe cards, maintaining associated records
• Covering Agency inductions, once a week
• Provide statistics as required by ONS
• Order & restock stationery items as required by the Department
• Telephone cover for Reception on an ad-hoc basis
• Responding to Data issues and undertaking periodical organizing and archiving of data / records in line with Data Protection guidelines
• To provide support in the absence of the HR Officer
• Assist the HR Officer and Manager with admin support, such as distributing employee/company communications or social & ethical audits

Payroll Administration:
• Daily clocking amends
• Calculate and process wages for weekly paid staff
• Communication with managers to determine & resolve anomalies
• Running payroll link
• Keeping records for:
Inland Revenue - processing P6s, checking PAYE records
Court Orders - ensuring DOEs are set up, paid & maintained
Identify, raise paperwork and implement length of service increases, calculating adjustments where required
End of year payroll routines and return (P60, P35).
P45, P46 including paperwork
• To run Auto-Enrolment and to administer the scheme; ensuring any relevant in-house and statutory records and reports are run, accurate and maintained
• Calculating and processing, including relevant correspondence for SSP, SMP, SPP
• Updating payroll system; starters, leavers, change of details etc
• End of year payroll routines and return (P60, P6)
• Ad-hoc maintenance of pay records (EG: Archiving)
• Ensuring records relating to pay are securely filed electronically or within paper files (including paperwork trails which stop at Payroll, EG Fit Notes, change to terms forms, etc)
• Annual activities such as pay increases

Skills required:
• Experience with payroll and basic HR is essential
• Experience of handling HR matters within either an industrial/ FMCG business or retail business would be beneficial
• Strong IT skills including all of Microsoft Office (Word, Excel, Outlook etc).
• A professional manner and discreet nature
• A passion for delivering a strong HR service to the wider business
• Local to Southend, Essex where this role will be based
