Part Time Office/Projects Administrator
Part Time - 16 to 21.5 hours
Purpose of the Role:
Working closely with the Projects and Quality Assurance Manager to collect, analyse and report on the performance of each project whilst also carrying out any other office administration duties required by the Management team.
As an Office Administrator you will be responsible for:Support the coordinating of project schedules and deliverables
Maintain the Quality reports supplied are of the correct standard
Organising meetings and managing calendars.
Maintaining general email inbox and diaries
Preparing reports including, formatting and collation.
Maintaining project filing and other administrative support for our site teams.
General ad hoc office duties.
Ownership and accountability of all duties carried out
Along with the above there will also be a number of administration tasks that will form part of the role on these include but are not limited to:
Answering and redirecting all incoming calls.
Processing expenses, reporting any discrepancies.
Processing Holidays / Sickness records.
Sending sales order acknowledgment to all customers.
Invoicing all orders and sending invoices to customers
Obtaining proof of deliveries from couriers/ freight forwarders.
Updating data sheets on monthly/ yearly basis.
Any other duty as required by the line manager commensurate with the post .
Qualifications and Experience Needed:
Good communicator - written and oral.
Strong team working skills, good eye for detail, ability to solve problems and resolve queries in a timely manner.
Able to take own initiative, be confident, able to prioritise and deal with individuals at all levels.
Proficient in the use of MS Office suite specifically, Microsoft Word, Excel, PowerPoint.
Self-discipline, Confident, articulate, self-starter, accurate.
Proven administration experience
Working understanding of project performance management and understanding of QA processes such as ISO9001 would be a great advantage
