OFFICE MANAGER / POOLE - PERMANENY VACANCY

Location: Poole, Dorset

Job type: Permanent contract

Hours: Monday to Friday 08:00am - 17:00pm

Salary: £25,000 - £35,000 per annum, dependent on experience.

The successful candidate will be responsible for the day to day administration of the Office and bookkeeping support as well as contributing to the maintain of accurate records and logistics, ensuring all required deadlines are maintained along with customer and staff communications.

Duties as an Office Manager:

      Carrying out general office activities as required using a variety of software to effectively administer and record the key areas and ensure that facilities, supplies and equipment are adequate for purpose

Managing the credit control, accreditations, logistics, resources, renewal of Health & Safety policies, company policies and other legal requirements as well as implementing and maintain of procedures

Managing the processing and coding of purchase invoices and reconciliations

Process and input both purchase and sales invoices onto the accounts package along with subcontractor payments and expenses

Ensuring that the filing system of delivery notes and purchase orders are kept up to date to support relevant purchase invoices

Ensure the inputting of data and maintain the upkeeping of records with regards to any of the factory enterprises

Be responsible for incoming calls and rectify any customer enquiries or queries

Undertake and keep up to date records of all employee holidays, time sheets, labour return sheets and training matrix

Supporting the Managing Director and other employees in an administrative capacity producing general reports and key performance indicators when needed

Carrying out any other administration duties as directed

Contributing to departmental meetings to assist in improvements and prepare agenda and minutes

Arrange accommodation, car parking and out of town expenses for workers who may have to work away from their normal residences

  • Experience of project delivery within prescribed timeframes

The Business

Established for more than 150 years. They are developing a World Class manufacturing facility for high integrity Nuclear Waste Containers. They have already installed large, advanced CNC machining and robotic welding equipment to enable the current contracts to be fulfilled during the next 10 years.

About you

You should be passionate about quality and process improvement, hold a relevant indentured or modern apprenticeship with several years' experience in MiG/Mag, Tig processes. Experience of robotic welding would be beneficial, although not essential. Your main skill will be the assembly, fabrication and welding of Stainless-steel parts and sub-assemblies

Able to read and Understand engineering drawings

Coded Welder, Mig/Mag, Tig experience in stainless steel, experience in 2205 duplex

Ability to work as part of a team to achieve quality standards and meet production deadlines

Able to operate overhead cranes and workshop equipment

Experience

  • Experience of arc welding processes, such as: TIG, PAW, MMA, MIG/MAG, FCAW, SAW.
  • Experience with manual, mechanised, or robotic welding.
  • Project experience from concept to product realisation.

Skills

  • Several years welding experience of running arc welding robots.
  • Proactive and dynamic approach in challenging existing processes
  • Good communication skills.

Knowledge

  • Knowledge of best practice for welding of a variety of materials, such as: Stainless steels, Duplex SS, C-Mn steels, aluminium, and nickel-based alloys.
  • Knowledge of welding Standards. However, full training can be given to the successful applicant.
  • Robot programming.
  • Knowledge of welding systems and software.
  • Problem solving techniques.
  • Knowledge of 5S, VMS and lean manufacturing

Reporting to the Operations Manager, you will be a trusted member of the leadership team with functional responsibility for the provision and maintenance of a safe and environmentally conscious workplace for our employees and visitors to our site, the containment and resolution of product and service non-conformities and the organisation, administration and review of the Integrated Management System that governs the Quality, Health, Safety and Environmental approach.

Job Objective:

Manage the organisation and administration of the company's Integrated Management System (IMS) ensuring that procedures and processes are created, maintained to the required standard and corrected or improved in accordance with the recommendations of compliance audits by external certification bodies.

Coordinate area and task-specific risk assessments in cooperation with area supervisors, team leaders and operators to identify hazards that present a risk to our employees' health and safety. Define, lead and manage the implementation of resulting corrective actions or control measures to eliminate these risks.

Conduct regular and detailed audits of the company's QHSE processes and procedures to identify good practice, opportunities for improvement and non-conformance. Lead investigations into health, safety and environmental incidents and quality related non-conformities. Proactively manage containment and the implementation of corrective actions to eliminate root causes.

  • Team oriented with the ability to recognise inter-functional customer/supplier relationships.
  • Focused on proactive prevention and logical identification of root cause.
