Sales Administrator

Location: Gloucester

Hours of work: Monday to Thursday 8.00am-4.30pm, Friday 8.00am-2.00pm

Salary: £21,000

You will be responsible for providing administrative support to the sales team across two sites, Gloucester and Cardiff.

Key Responsibilities:

  • Providing admin support to the sales team
  • Liaising with internal and external customers via email and phone
  • Adhering to company processes and procedures, within industry regulations
  • Embracing new training and further development within the business
  • Any other ad-hoc administrative duties as required by the business

Experience, attributes & skills sought:

  • Able to read, interpret and carry out technical work instructions
  • Attention to detail and ability to complete detailed traceability requirements as part of the documentation process
  • Identify parts with printed and / or electronic pictures
  • Good interpersonal and communication skills

Desirable Skills:

  • Able to read and interpret engineering drawings
  • Experience in estimating within an engineering field
  • Experience in Surface Treatments

The Role

Involved in all aspects of Quality Management across key business divisions: auditing, reporting, measuring, analysing, and proposing solutions to maintain ISO Quality Standards and Customer Satisfaction.  Promoting and developing the Quality Management System and encouraging continuous improvement and customer satisfaction across the company.

The role is an influential one that promotes process improvement and effective interdepartmental working. A fantastic opportunity for an experienced Quality Assurance professional to take on a well-established Quality System which is management led.

Duties

  • Control, development, and administration of all Quality System documentation in line with current working practices, legislation, and ISO 9001:2015 criteria 
  • Completion of quality correspondence in relation to onboarding new customers and suppliers
  • Implement and manage the company internal audit schedule acting as lead auditor, reporting findings and driving actions for process improvement with key stakeholders
  • Mentor and coach internal audit team
  • Analyse data and compile monthly reports for management on customer and supplier non-conformances
  • Collate data for annual quality management review presentation
  • Review and communicate to customers, changes to industry legislation and compliance
  • Manage customer new product introduction (PPAP process)
  • Support sales and purchasing teams to investigate customer and supplier non-conformances to determine root cause and corrective action
  • Conduct customer and supplier on-site quality visits noting required actions
  • Manage the calibration register and organise third party calibration of key equipment
  • Co-ordinate with the external audit agency regards certification, administration and audits and play a lead role during the external audit process
  • Monitor and evaluate company KPIs and highlight areas of concern or achievement.

 

Skills/knowledge/Experience

  • 2 years experience working in a quality management role
  • Knowledge of ISO 9001:2015
  • Lead process auditor skills in line with ISO 9001 2015 criteria
  • Strong analytical skills
  • Excellent written and reporting skills.
  • Strong team player and able to work on own initiative
  • Pro-active and organised in your approach to work
  • Strong IT skills- including Microsoft products, particularly Word and Excel
  • Effective communication and interpersonal skills
  • Mentoring and coaching experience preferred

Principal Accountabilities:

To carry out all tasks and projects within the scope of the role including:

IT First Line Support:

- Support 70 staff with any IT related queries / issues in a professional and timely manner.

- Liaise with 3rd party support companies to assist in solutions when required.

- Maintain the internal helpdesk (Fresh Desk) with meaningful threads and solutions.

- Report weekly helpdesk KPIs to enable informed decision-making.

- Contribute to supporting / creating user documentation.

Maintain IT Audits:

The ideal candidate will be qualified to a minimum of HND or preferably degree level in IT / Computer Science.

- Competent user of Microsoft 365 (Office, Teams, SharePoint).

- Windows 10

- IT Helpdesk experience.

- Basic understanding of firewalls, networks, switches and patch-panels.

- Strong written and verbal communication skills are essential to engage with internal and external contacts.

- Accuracy and a high level of attention to detail with proven ability to plan own time to meet deadlines.

- A positive attitude and the ability to work effectively both within a team and independently
