PROJECT ADMINISTRATOR

Hawk 3 Talent Solutions are now looking to recruit a Project Accounting Administrator for our client, a specialist manufacturer based in Cwmbran. This role is a 12 month fixed term contract to cover maternity leave however may lead to other opportunities in the future for the right candidate.

Excellent opportunity for progression for the right candidate.

Supporting the AMR Project Manager, the Project Accounting Administrators' main duties will be:

  • General administration duties
  • Weekly invoicing of customers installation and maintenance reports
  • Updating the Installation Register adding new stock and disposals
  • Monthly rental invoicing
  • Updating the Rental Register adding new stock
  • Checking sub contractor invoices to ensure that the customer has been invoiced for any work carried out
  • Maintaining a monthly sub contractor accrual spreadsheet

Knowledge and Experience required:

  • Previous Administrative experience with high attention to detail is essential
  • Previous invoicing experience would be a distinct advantage
  • Must be methodical
  • Able to prioritise their workload
  • Able to stay focused under pressure
  • Professional telephone manner
  • The successful candidate will be IT literate, numerate and will want to be part of a team

This role is a permanent contract for 37.5 hour per week

8.00-16.00 Mon to Fri with 30min lunch - Flexibility is available for the right candidate

Salary: £20,788 negotiable depending on skills and experience

This is a very busy multi-tasking role which requires excellent communication skills and proven telephone skills in a similar role. Candidates should be highly presentable, educated to degree level with a high level of self-motivation and be articulate and professional.

Your time initially will be spent learning the basics e.g. studying our products, liaising with our UK and foreign customers on the phone and providing all aspects of administration within the office including sales order processing, answering telephone enquiries from customers and suppliers, providing quotes, taking, placing, and organising the despatch of orders including packing and liaising with the technical workshop. You will also provide be involved in maintaining databases and collating data for sales and marketing reports.

Once competent in the above duties, you will take on responsibility under the guidance of sales management for the day-to-day account management of our some of our UK and foreign customer base, as well as working on telemarketing campaigns to promote our products within our niche market. While this is not a sales role, you should be highly competent on the phone and have proven experience in a sales or telemarketing role.

Required Skills and Qualifications:

  • Degree educated
  • At least two year's relevant experience in account management/ telemarketing or telesales role
  • Excellent telephone and communication skills
  • Excellent MS Office Skills.

The role purpose:

Key duties and responsibilities:

The Client Manager will ensure client satisfaction for every project, gain repeat business and new business from existing clients and develop relationships with new clients. The Client Manager will act as the key source of information on the client and projects carried out for the clients, including client needs and financial performance. They will ensure project managers deliver their projects. 

 

Responsibilities include:

  • Increase sales and profitability in the region by meeting client needs
  • Develop close relations with senior managers and other key stakeholders in both existing clients and potential client organisations

Job Purpose

To be responsible for issuing Parking Charge Notices to vehicles that do not comply with on-site parking regulations. The role will involve working outdoors across various car parks in your designated area. Due to the nature of the role, there will be a large amount of face to face interaction with members of the public.

To promptly report any health and safety issues that arise in line with company policy

To maintain an up to date knowledge of industry standards and display these through your work

Special Working Conditions

The postholder will be required to travel extensively and in all weathers. On occasion, the postholder may be required to travel outside of their designated area to support the needs of the business.

Role Purpose

The Laboratory Technician role is a generalist Laboratory role, conducting day to day testing and monitoring of the chemical production environment as per the testing schedules. Working with the team, the Laboratory Technician will perform the day to day testing and monitoring of samples; escalating issues and concerns as per the escalation process.

Following the agreed testing guidelines as set out within departmental policy, procedures and operational practices, the laboratory technician is responsible to monitor and communicate results from testing in order that technical issues can be prevented and that the environment can be closely monitored to address issues in a timely manner.

This role is vital to support production quality and plating performance for the volume of work as per requirements.

Key Accountabilities / Responsibilities:

      Perform daily, weekly, monthly, quarterly and annual testing as per the laboratory testing schedule (as per business requirements).

Communicate test fails and escalate issues as per the escalation process.

Make additions to process solutions in a safe manner as per H&S instructions and procedures

Work proactively to support production and inspection making recommendations and suggestions to address test fails in order to close technical issues in a timely manner.

Supporting quality and production during internal and external audits.

To ensure 5S principles are followed; maintaining an environment that supports efficient working and a methodical approach.

To look after laboratory equipment maintaining, calibrating, cleaning and testing sterility.

To order and maintain stock and resources.

To perform other duties as may be assigned by the line manager or as per the requirements of the business.

 

Performance Measures:

      Departmental data (Safety, Quality, Delivery, Cost)

Turnaround time for addressing technical issues

Up to date record keeping and supporting documentation

Care for the environment (reduced wastage / 5s work space organisation)

Team worker behaviour (working supportively across departments and within the team - being reliable punctual, adapting, improving and learning)

Safety - observed adherence to the company Health & Safety Procedure

 

Requirements:

      Ability to work methodically and systematically in a laboratory environment

Ability to track and record data using relevant software and systems

A customer focussed "Can-Do" attitude (internal customers - production, quality etc)

Efficient and effective working - managing time to prioritise important deadlines

Strong interpersonal and communication skills - working with others to provide the information they need to complete laboratory tasks and eliminate production delays

Ability Ability to work as part of a team - working flexibly and collaboratively to solve technical issues and exceed departmental targets

to follow and work within laboratory processes and procedures - exercising sound judgement at all times; suggesting operating improvements to support team delivery

Sound literacy and numerical skills

Personal ownership and responsibility for being professional, punctual, consistent and reliable

Knowledge

      Strong laboratory knowledge within an industrial / production environment

Ability to take direction, learn and apply knowledge and skills within a changing operating environment

Commitment to learning and the ability to apply knowledge in order to create solutions and resolve technical issues

Experience

      Previous experience working in a laboratory within a production environment (required)

Experience working methodically and systematically within a science environment (required)

Experience working in a metallurgical environment (desirable)

Profile

To effectively manage estimating projects and analyse data to produce accurate quotations for our customers, these include Main Contractors, Sub-Contractors, and Architects. To maintain a high level of customer service through timely and effective communication. Key Responsibilities:

Produce quotations for projects using the EPICOR system and issue back to the Commercial Office Supervisor within dedicated timescales.

Communicate regularly with external customers to ensure comprehensive and compliant quotation.

Communicate with internal departments to ensure accuracy of information and timings within the quotation.

Review enquiries to ensure we can supply a compliant quotation within our product range.

Ensure quotations are 100% accurate including relevant margins.

Regular customer contact regarding key quotations

Quote amendments pre and post-sale.

Raise DFA's when required ensuring accuracy and compliance.

Ensure certification requirements are adhered to within the quotation.

Answer general technical enquiries ie. specification, certification, building regulations, referring to technical team when required.

Follow all standard operating procedures and processes.

Ensure KPI's are fulfilled.

Competencies:

Ability to understand standards and the routes to compliance advantageous.

Construction product/systems estimating experience preferred.

Excellent communication skills.

Professional telephone manner.

Organised.

Microsoft Office (word/excel/outlook etc).

Experience in using CRM system.

Accuracy in attention to detail.

Ability to read construction drawings & schedules.

Ability to work alone and communicate confidently as a team member.
