Location: York, North Yorkshire YO1

Salary £26,000 - £27,000 per annum

Monday–Friday shifts between 08:00–19:00 – so one week you will work 8am – 4.30pm – then 8.30am – 5pm or 10am – 7pm

Rotating weekend work during peak season (April–October) working 9am – 5pm (this works out to about 4 weekends per year.

One day per week working from home (flexible)

Contract: Full‑time, Permanent

About the Role

Hawk 3 Talent Solutions are looking for a proactive, organised and people‑focused Tour Travel Operations Executive to help ensure tours run smoothly from start to finish. This role is ideal for someone who thrives in a fast‑paced environment, enjoys problem‑solving, and is motivated by supporting others to deliver excellent experiences.

You will act as a key point of contact for Tour Managers, suppliers, and internal teams. The role blends logistics coordination, communication, and real‑time operational decision‑making. What You’ll Be Doing

Tour Manager Support

• Serve as the main contact for Tour Managers before and during tours
• Prepare and upload all pre‑tour documentation accurately
• Provide calm and structured first‑response support during incidents
• Share timely operational updates and event alerts

Disruption Management

• Manage on‑tour disruption including delays, cancellations and last‑minute changes
• Work with leadership to activate contingency plans
• Stay steady and focused during high‑pressure periods
• Take part in an on‑call rota for 5 weeks per year (21:00–08:00)

Operational Delivery

• Coordinate logistics including hotels, transport, meals, guides and excursions
• Support additional operational tasks such as rail coordination, meet‑and‑greet, and tour handovers
• Ensure arrangements are accurate, confirmed and delivered on time

Supplier & Partner Management

• Maintain professional relationships with suppliers
• Confirm arrangements, negotiate alternatives and escalate when needed

Data & Documentation Accuracy

• Maintain accurate, complete and up‑to‑date tour data
• Use systems and automation tools to streamline processes
• Ensure Tour Managers have one reliable source of truth for all documentation

About You

You will be well‑suited to this role if you:

• Build strong relationships easily across teams and with suppliers
• Have travel, tour, hospitality, reservations experience
• Love travel, worldwide travel experience
• Stay calm and effective when plans change unexpectedly
• Are organised, detail‑focused and proactive
• Can manage multiple tasks without losing accuracy
• Are comfortable using digital tools and maintaining clean data
• Work well with colleagues and adapt to changing priorities
